It’s about using just a few simple, reliable platforms that make your day easier.

Here are the essential tools I use every day to keep my clients’ businesses running smoothly behind the scenes.

Gmail


Why it matters:
Email is still the hub of most businesses, but it doesn’t have to rule your day.

I use Gmail with filters, labels, and scheduling tools to keep inboxes clear, organized, and running quietly in the background.

Pro tip: Set up filters to keep client messages visible and non-urgent stuff out of your way.

Google Drive


Why it matters:

Everything runs more smoothly when files, graphics, and documents are in one place and labeled clearly.

I use Google Drive to organize blog drafts, client content, graphics, templates, and any other files that might otherwise get lost in a sea of attachments.

Airtable


Why it matters:

Spreadsheets, but better.

I’m obsessed with Airtable. I use it to manage content calendars, track blog post progress, store login info, and even organize backend workflows. It’s clean, visual, and easy to share with clients.

Pro tip: Use color-coded views to see what’s upcoming, what’s in progress, and what’s done at a glance.

Canva


Why it matters:

Your content deserves to look polished without you needing a graphic design degree.

I use Canva to create and schedule graphics that are clean, on-brand, and repeatable. Templates save time. Consistency builds trust.

Loom


Why it matters:

Some things are just easier to show than explain in an email.

I use Loom to record quick walkthroughs, explain processes, and give updates without needing to schedule a meeting. It saves time and keeps communication personal without the Zoom fatigue.

Pro tip: Record short videos to show how you organize content, explain a system, or give feedback clearly and calmly.

Slack


Why it matters:

Quick communication is essential, but email isn’t always the place for it.

Slack allows me to check in with clients, share updates, and keep conversations out of the inbox.

You don’t need the trendiest software to feel more organized. You need tools that make your life easier and someone to help run them consistently.
